Two quotes for "the same backdrop" can land in very different places. Here's how balloon pricing actually works, what the venue and the Texas weather change, and what to have ready so your number is a real one.

$25–$60

Typical cost per linear foot for an organic garland, depending on density and balloon size mix.

2–4 wks

How long an air-filled garland can hold its shape. Helium pieces last about 12 to 24 hours.

6–8 wks

Our recommended lead time for custom wedding installations, especially Saturdays in spring and fall.

How the quote gets built

Balloon décor gets priced a few different ways depending on what you're ordering. Garlands go by the linear foot, single elements like an arch or a number go by the piece, and bigger installs like a backdrop wall or entrance display are usually a flat rate that bundles design, materials, and labor.

Organic garlands, the irregular, layered, mixed-size kind, cost more per foot than uniform ones because they take more balloon sizes and denser clustering. That's why a 15-foot ceremony backdrop can swing by hundreds of dollars on fullness alone.

Helium pieces like arches, columns, and ceiling clusters are priced separately from air-filled garland, since helium adds a tank or rental cost and a much shorter usable window. And delivery, setup, and takedown are often their own line items, apart from the design fee. That's usually where two quotes that look alike on paper stop being alike.

The moment decides the style

The right design depends on what it's marking, not just your taste. A ceremony entrance is usually a freestanding arch or a pair of matching columns at the start of the aisle. A reception backdrop is flatter and wall-mounted, built to sit behind the head table or sweetheart table. Showers and rehearsal dinners tend to happen in homes, restaurants, or smaller venues, so we scale down to a single accent garland or one balloon wall section.

How it'll be photographed matters too. A ceremony entrance shot from across a lawn needs bigger, bolder clusters to read in photos. A reception backdrop that guests and cameras get close to can carry finer detail and smaller balloons.

"Matching scale to the room is what keeps a design from looking sparse in a big space or crowded in a small one."

Venue rules and Texas weather call the shots

Before color or size even comes up, the venue sets limits. Many Dallas hotels and event halls don't allow helium near sprinklers or ceiling fixtures, and some restrict tape or adhesive on walls, which changes how a backdrop can be mounted. It also matters whether your venue is same-day only or lets us set up overnight, since overnight access gives us more room to build and stage a piece in advance.

Outdoors, summer heat can expand and pop latex, and wind above roughly 10 to 15 mph can distort a garland or knock over a freestanding arch. So we schedule outdoor installs as close to the event start as the design and venue logistics allow, and most wrap up 30 to 60 minutes before guests arrive. On an especially hot day, we might shift to a later install, shaded placement, or lighter colors to keep everything looking its best when the doors open.

Indoor, climate-controlled spaces hold their look far longer, which helps when your ceremony and reception happen at different times or locations.

What we need to give you a real number

The fastest way to a real quote instead of a rough guess is to have these ready:

Dimensions or photos of the space
Event date & venue name
Color palette
Same-day setup & takedown, or delivery only?

Venue photos or a floor plan beat a phone description every time, since ceiling height, wall material, and existing décor all affect what's possible and how long the install takes. Lock in your venue and date first, then request the quote. It keeps the design conversation grounded in what the space can actually support.

Custom shapes, unusual color blends, and large backdrops need more lead time because specialty colors and sizes sometimes have to be special-ordered. We recommend booking custom wedding installations about 6 to 8 weeks out, and earlier for Saturdays, peak spring and fall dates, specialty colors, custom fabrication, or designs spanning multiple areas. Shorter timelines can sometimes work, depending on availability.

Questions we get from couples

Can you match my colors to a swatch or ribbon sample?

Yes, that's standard for custom garlands. Send the sample ahead of your quote so we can confirm the exact shades are in stock or can be ordered in time.

Can one garland work for both the rehearsal dinner and the reception?

Air-filled garlands can often be moved and reused since they hold their shape for weeks. Helium pieces usually can't stretch across two events with a 12 to 24 hour window. Venue locations and moving logistics factor in too.

How early can the ceremony arch or reception backdrop go up?

It depends on whether it's helium or air-filled, and on your venue's access window. Outdoor helium arches go up close to ceremony time, while air-filled and indoor pieces give us more flexibility earlier in the day.

Do garlands need special storage before the big day?

No refrigeration needed. Just keep finished garlands out of direct sun and away from extreme heat or cold until installation, since temperature swings affect how long latex holds its shape and color.

Do you handle takedown after the event?

Takedown is typically a separate service based on the installation and venue requirements. If your design includes Balloon Therapy rental structures, or your venue needs everything removed right after the event, we can schedule the team to return for breakdown. We go over takedown requirements and fees in your proposal, so you know exactly what's included before you book.
