Planning considerations that actually change your quote

Every balloon plan starts with the room, not the budget. Ceiling height and wall material decide whether we're hanging a garland, framing a stage backdrop, or building a freestanding arch. Outdoor courtyards, gyms with high rafters, and cafetoriums with existing signage all call for different rigging, so tell us the venue before you tell us the color scheme.

  • Venue layout — ceiling height, wall type, indoor vs. outdoor, and any fixtures we need to design around
  • Timing — how far out you're booking, and whether your date lands during a busy stretch
  • Guest count and room size — the main driver of garland length, balloon volume, and final cost
BOOKING WINDOW
For a typical school celebration with 100–150 guests indoors, we recommend booking 4–8 weeks ahead to secure your date and give us time to design something that actually fits your space. During spring graduations, back-to-school, and the holidays, push that to 2–3 months out; those weeks fill fast.

What "on-site setup and takedown" actually looks like

This is the part most schools ask about first, because it's the part that saves your staff the most time. On-site service means our installer arrives while the room is still empty, builds the design in place, and comes back after the event to take it all down — nothing left leaning against the gym wall on Monday morning.

  • You provide access to the space, an outlet if the design needs one, and clear floor or wall space
  • We work around any venue rules on tape, nails, or adhesives — just let us know upfront
  • Takedown happens after guests leave, so there's no decor to store or dispose of
ARRIVAL WINDOW

Our installers typically arrive 2–4 hours before your event starts, depending on the size and complexity of the setup. Larger installs or events with multiple focal points — stage backdrop plus entryway arch, for example — may need extra lead time to be finished before your first guest walks in.

What drives the price up (and what doesn't)

Garland length and balloon count set the baseline — a 15-foot garland and a 20-foot garland are genuinely different jobs in materials and labor, not just a percentage bump. From there, venue conditions do the rest: high ceilings that call for a lift or ladder, tricky wall surfaces, more than one installation area, or tight load-in access all add time on-site, and time on-site is what you're paying for.

Weather is the other big lever. Anything outdoors needs to survive Texas wind and sun, which changes both the materials and the install itself.
